Whether you are a renter or landlord, there always seems to be some fight over the security deposit. If it goes to court, you'll want the proof in hand.
Of course, being proactive is your best defense. If your tenant is aware that you have the before, during and after photos, they are more likely to take better care of your property.
Tenants are never happy about a landlord wanting access to check their property. Fact is, they don't see me as being intrusive. I am just a vendor doing a job, and I will always make an appointment before showing up. I also insist on someone being home, so there won't be any problems. Morning, night, weekend appointments are all available.
The problem with security deposits is mainly the assumption that the deposit won't ever be given back. The tenant feels that no matter how they leave the rental, the deposit won't be refunded, so they tend to not care about condition. Then there are the tenants that trash everything and still ask for the deposit back and are shocked when you mention damages.
One solution is to simply to document the premise condition and discuss it with your new tenant. Let them know your expectations upfront and what they need to do to get a refund. Many landlords offer a walkthrough before the tenant leaves to discuss the condition and what needs to be done to ensure a refund. It doesn't have to end badly.
