Many people ask me how to write an effective letter or complaint. The answer is simple, stick with the facts and don't lose your cool.
The first step in any dispute is to contact the party and make yourself clear as to the result that you expect, such as a refund or replacement. You give a time limit and your intentions should the party not respond (If I don't hear from you within 7 days, I will seek legal advice).

A professionally written letter gets to the point and tells the other party that you are not backing down. When it relates to your situation, I add state statutes and/or codes (such as a tenant requesting deposit). I also let the party know that local and federal agencies will be contacted. If it is a confidential matter, I can write an editable letter for you.
